Key Responsibilities:
- Documentation and Presentation Development
- Create and maintain high-quality PowerPoint presentations for PMO and executive steering committee meetings.
- Develop and update project documentation, ensuring all records are accurate and up to date.
- Compile and visualize project progress reports in an executive-friendly format.
- Project Coordination & Execution
- Follow up on project milestones and tasks to ensure on-time, in-full (OTIF) delivery from all project managers.
- Manage and update project risk logs, identifying potential risks and mitigation strategies.
- Support financial reporting by tracking project budgets, expenditures, and variances.
- Provide administrative support, including scheduling, meeting coordination, and stakeholder communication.
- Project Management Tools & Training
- Act as a key user and trainer for the project management tool ASANA, ensuring all team members utilize it effectively.
- Coach and train project managers and team members on best practices in project management and task tracking.
- Meeting and Workshop Coordination
- Schedule and facilitate project meetings, ensuring agendas, materials, and follow-up actions are well managed.
- Organize workshops and collaborative sessions to drive project alignment and progress.
Required Qualifications & Skills:
- Proven experience in project coordination, administration, or a similar role.
- Expert-level skills in Microsoft PowerPoint to create executive-level presentations.
- Strong organizational and multitasking abilities with a detail-oriented mindset.
- Experience in tracking project tasks, milestones, and risks in a structured manner.
- Knowledge of financial reporting principles related to project tracking.
- Ability to proactively follow up with project managers and stakeholders to ensure timely execution.
- Experience using ASANA or other project management tools, with the ability to train and coach others.
- Excellent verbal and written communication skills.
- Strong problem-solving skills and a proactive approach to challenges.
Preferred Qualifications:
- Background in HVAC, manufacturing, logistics, or industrial projects is a plus.
- Experience working in a startup or fast-paced industrial environment.
- Familiarity with Lean, Agile, or similar project management methodologies
