Key Responsibilities:
1. Documentation and Presentation Development
· Create and maintain high-quality PowerPoint presentations for PMO and executive steering committee meetings.
· Develop and update project documentation, ensuring all records are accurate and up to date.
· Compile and visualize project progress reports in an executive-friendly format.
2. Project Coordination & Execution
· Follow up on project milestones and tasks to ensure on-time, in-full (OTIF) delivery from all project managers.
· Manage and update project risk logs, identifying potential risks and mitigation strategies.
· Support financial reporting by tracking project budgets, expenditures, and variances.
· Provide administrative support, including scheduling, meeting coordination, and stakeholder communication.
3. Project Management Tools & Training
· Act as a key user and trainer for the project management tool ASANA, ensuring all team members utilize it effectively.
· Coach and train project managers and team members on best practices in project management and task tracking.
4. Meeting and Workshop Coordination
· Schedule and facilitate project meetings, ensuring agendas, materials, and follow-up actions are well managed.
· Organize workshops and collaborative sessions to drive project alignment and progress.
Required Qualifications & Skills:
· Proven experience in project coordination, administration, or a similar role.
· Expert-level skills in Microsoft PowerPoint to create executive-level presentations.
· Strong organizational and multitasking abilities with a detail-oriented mindset.
· Experience in tracking project tasks, milestones, and risks in a structured manner.
· Knowledge of financial reporting principles related to project tracking.
· Ability to proactively follow up with project managers and stakeholders to ensure timely execution.
· Experience using ASANA or other project management tools, with the ability to train and coach others.
· Excellent verbal and written communication skills.
· Strong problem-solving skills and a proactive approach to challenges.
Preferred Qualifications:
· Background in HVAC, manufacturing, logistics, or industrial projects is a plus.
· Experience working in a startup or fast-paced industrial environment.
· Familiarity with Lean, Agile, or similar project management methodologies
