Event Experience Coordinator

We organize the E-commerce Berlin Expo – one of Germany's most recognized e-commerce events. Behind the scenes, we’re a small, dedicated team working year-round to build something meaningful for the e-commerce community.

We’re looking for a creative and organized team player to join our marketing team and own the full lifecycle of side events and on-site activations – from first idea to post-event follow-ups. You’ll be the driving force behind experiences like networking breakfast, roundtables, speed networking, contest jury dinner, the afterparty – aligning with logistics team, coordinating with sponsors, managing guest lists, communicating with attendees, and ensuring every detail delivers on our brand experience. Industry: Event organizing (trade fairs and conferences)

Professional background & skills

• Marketing experience, especially in event coordination, production, or B2B marketing
• Comfortable with creating engaging experiences for professional or business audiences
• Skilled in developing concepts and turning them into real, tangible experiences
• Strong communicator in Polish and English (German is a bonus)
• Has a keen eye for detail, and notices the little touches that make an event special
• Thrives under pressure and can find solutions when things go sideways
• Comfortable working across different areas: logistics, content, partnerships, and more
• A willingness to travel to Berlin a few times a year - primarily for the main event in February, as well as for occasional business trips related to on-site checks, and side events

Responsibilities

• Own the full concept and experience for side events and on-site activations.
• Develop engaging themes, entertainment ideas, formats, and setups, and translate ideas into actionable plans.
• Create experience opportunities for sponsors: branded areas, special activations, or curated moments that give them visibility.
• Manage the timeline and deliverables of each experience from start to finish.
• Collaborate with the logistics team for all executional details: catering, venue setup, transport, etc.
• Coordinate with external vendors (entertainers, photographers, hosts, designers) to deliver the desired experience.
• Maintain ongoing communication with sponsors to ensure their expectations are met.
• Own the guest list and RSVP process.
• Lead all on-site experience elements: checking setup, briefing partners, solving issues, and ensuring everything runs smoothly.
• Develop bartering partnerships (snacks, drinks, entertainment, giveaways) that enhance the guest experience.

Working conditions:

Full-time position

Based in Poznań, with travel to Berlin for the main event in February, as well as occasional business trips throughout the year - on-site checks, side events, etc.

Hybrid work is possible after onboarding (min. 3 days/week in the office)
