We organize the E-commerce Berlin Expo – one of Germany's most recognized e-commerce events. Behind the scenes, we’re a small, dedicated team working year-round to build something meaningful for the e-commerce community.


We’re looking for an Office Assistant to support our day-to-day operations - from paperwork and HR coordination to logistics and team care.


About us:


Location: Poznań

Team size: 15-20

Industry: Event organizing (trade fairs and conferences)

 

Responsibilities:


✔ Finance & admin:

  • Organizing and forwarding accounting documents
  • Making sure payments are on time
  • Preparing internal monthly budget summaries
  • Contact with legal, HR partners and public institutions (e.g. ZUS, Tax Office)


✔ Employee support:

  • Managing documentation and contracts
  • Coordinating benefits (Benefit System, lunch orders)
  • Tracking remote work and vacations
  • Preparing workstations and office access
  • Organizing integration events


✔ Office & logistics:

  • Ordering supplies and snacks
  • Managing couriers and deliveries
  • Keeping the office tidy (in cooperation with cleaning service)
  • Ensuring printer, coffee machine and other equipment work smoothly
  • Contact with building management (meters, payments)
  • Ordering event materials, comparing offers, coordinating pickups


Requirements:


🟢 Very good organizational skills

🟢 Attention to detail

🟢 Cost-conscious mindset (you know how to find a good deal)

🟢 Independence and result-oriented approach

🟢 Very good Polish (spoken and written)

🟢 Communicative English (min. B1–B2)

🟢 Experience in admin/office work

🟢 Basic knowledge of accounting, HR, or legal processes will be a plus



Working conditions:


Part-time: 20 h/week

Flexible hours, task-based work

Poznań office (hybrid after onboarding, min. 2x/week)
