About the Role
For our Client, we are looking for an experienced Manager to lead the Project Management Office (PMO) and support the implementation of Service Management Practices (SMP) at the Warsaw center. This role will ensure that governance standards are met, projects are executed efficiently, and organizational frameworks such as SMP and the Center Maturity Model (CMM) are successfully embedded.
The person in this position will also oversee budget-related processes, prepare high-quality reports and presentations for senior leadership, and coordinate strategic visits and internal communication initiatives.
🎯Key Responsibilities:
🔄 Transitions & Knowledge Transfers
Manage planning and execution of transitions in line with organizational methodology (timelines, responsibilities, documentation, access rights, etc.).
Monitor transition progress, report risks, and stabilize operations within the center.
📊 Governance & Compliance
Oversee projects at the center level from planning to closure.
Establish and maintain project governance frameworks.
Track actions from governance meetings and ensure compliance with standards.
🤝 Visitor & Event Management
Coordinate visits of global and local stakeholders.
Manage logistics, agendas, and cross-functional cooperation to ensure a smooth experience.
⚙️ Service Management Practices (SMP) Implementation
Lead the implementation of SMP across functions.
Provide training, monitor compliance, and continuously improve processes.
Maintain Business Continuity Management (BCM) documentation.
📈 Center Maturity Model (CMM) & KPI Reporting
Track and report Center Maturity Model KPIs.
Ensure data accuracy and provide insights for continuous improvement.
💰 Budget & Documentation
Support budget planning and reporting at the site level.
Monitor variances and prepare forecasts.
Review and update the Statement of Work (SoW) annually.
🗣️ Executive Presentations & Communication
Prepare materials for board and executive meetings.
Ensure internal communication and intranet updates are timely and accurate.
🎤 Townhalls & Engagement
Plan and deliver townhalls, aligning employees with business objectives.
Coordinate logistics and key messaging with leadership.
🌍 Global & Local Reporting
Develop and manage reporting processes for both global and local stakeholders.
Identify trends, risks, and opportunities for optimization.
👤 Candidate Profile:
Bachelor’s degree in Business Administration, Project Management, or related field.
Solid experience in a PMO role with a focus on governance, reporting, and financial management.
Strong understanding of SMP frameworks and CMM KPIs.
Lean Six Sigma knowledge (Yellow or Green Belt certification preferred).
Excellent organizational, communication, and presentation skills.
Proficiency in project management tools and MS Office (Excel, Word, PowerPoint).
PMP, PRINCE2, or similar certification.
Experience working in an international, cross-functional environment.
Strong analytical skills and ability to interpret complex data.
