Job Description

Minimum compensation: starting from 8,000 PLN. The final offer will be determined based on the candidate's experience and competencies.

The Vendor Management & Procurement Analyst is a critical operational leadership position within our vendor management function. You'll oversee vendor onboarding processes, manage team members responsible for daily operational execution, and ensure vendor oversight aligns with our Third-Party Risk Management (TPRM) framework and regulatory requirements.

You’ll be directly handling complex or sensitive vendor situations. This role is ideal for a detail-oriented professional with proven vendor management experience.


What you'll do 

Team & Process Oversight:

  • Oversee the VM Inbox and monitor team member responses for both timeliness and quality

  • Manage team member(s) responsible for executing routine vendor onboarding processes

  • Ensure consistent oversight of vendor processes within the TPRM tool, maintaining process integrity

Quality Assurance & Audit:

  • Audit and verify accuracy of vendor processes, confirming correct BIR and spend category assignments

  • Ensure vendor processes maintain compliance with organizational standards and procedures

  • Respond to internal and external audit queries on vendor management topics

  • Support RCSA reviews and contribute to improving vendor management controls

Due Diligence & Vendor Management:

  • Manage ongoing due diligence for critical vendors and outsourced arrangements

  • Complete vendor onboarding for complex, critical, or sensitive requirements (as team cover and for specialist cases)

  • Track vendor progress through onboarding and due diligence processes

  • Monitor and track remediations resulting from vendor due diligence assessments

  • Support management of vendor lifecycle from initiation through continuous oversight

Reporting & Analytics:

  • Work with VM&P analysts to provide reporting to business stakeholders on:

    • Outsourcing registers

    • Vendor management process compliance

    • Vendor management KPIs and SLAs

  • Prepare management information for the Vendor Management Committee

  • Develop dashboards and tracking reports for senior stakeholders

  • Analyze vendor data to identify trends, risks, and improvement opportunities

Documentation & Procedure:

  • Review and improve vendor onboarding and due diligence procedures in Aravo

  • Maintain and update vendor management documentation and process manuals

  • Ensure procedures reflect current regulatory requirements and organizational learnings

Stakeholder Engagement:

  • Build relationships across the business to understand regulatory, legal, and risk requirements related to TPRM

  • Communicate with stakeholders regarding vendor status, remediation progress, and compliance matters

  • Provide clear guidance on vendor processes and requirements

  • Support training and knowledge-sharing initiatives

Contract & Risk:

  • Review contracts and legal agreements for low-risk/value spend items

  • Support contract administration and ensure compliance with terms

  • Identify emerging vendor risks and escalate appropriately


Who we're are looking for? 

Essential Experience:

  • 5-8 years proven experience in vendor management and/or procurement in a Financial Services regulated environment

  • Demonstrated experience in auditing and ensuring compliance with vendor processes

  • Familiarity with due diligence processes for critical vendors and outsourced arrangements

  • Strong stakeholder management experience across multiple functions

  • Proficiency with vendor management systems (familiarity with Aravo is advantageous)

  • Expert-level Excel skills for data analysis, reporting, and process management

  • Strong analytical capability for tracking KPIs, SLAs, and vendor performance

  • Ability to review and understand contracts and legal agreements

  • Excellent written and verbal communication skills

  • Exceptional organizational skills managing multiple priorities and deadlines

  • Detail-oriented approach with focus on accuracy and compliance

  • Problem-solving orientation with ability to troubleshoot issues

  • Relationship-building capability across diverse teams


Desirable Qualifications:

  • Understanding of Third-Party Risk Management (TPRM) frameworks and regulatory requirements

  • Familiarity with outsourcing registers and compliance registers

  • Knowledge of financial services regulatory requirements

  • Team management or supervisory experience

  • Professional certifications (CPA, CIA, CISA) are a plus

  • Background in risk management or internal controls
