We are a remote-first company that includes two brands: Reef Technologies – a Python software house, and Reef Assistants – a service that provides executive support to high-level clients. About the Role

We’re looking for a Recruitment Manager to fully own our recruitment efforts by continuously refining our processes (sourcing, interviewing, strategy), optimizing workflows, and helping scale our global remote teams.


We mainly hire Executive Assistants and Senior Python Developers. Both are niche roles with high standards, and both call for a thoughtful, personalized approach that goes beyond typical recruitment. We’re in a fast-growth phase and keep things flexible — not everything is set in stone, which makes it a great opportunity if you love improving and shaping how things work.


What You’ll Actually Be Doing

As a Recruitment Manager, you’ll work closely with leadership and other recruiters to keep our pipeline healthy, efficient, and aligned with our company’s direction. Here’s what that looks like in practice:


🔍 Visibility & Sourcing


  1. Propose and test new sourcing channels
  2. Run sourcing campaigns via different platforms and evaluate their effectiveness
  3. Monitor the performance of different recruitment sources and suggest improvements
  4. Research and coordinate participation in recruitment-related events or conferences
  5. Develop our employer branding and recruitment communication strategy
  6. Handle operational tasks and candidate communication


🧩 Strategy & Process Improvements


  1. Forecast recruitment needs based on business growth and create annual/quarterly recruitment plans
  2. Identify process optimization opportunities and implement automation
  3. Develop reports and statistical dashboards that help track recruitment effectiveness and cost efficiency
  4. Consult our legal advisor on the legal aspects of recruitment
  5. Coordinate collaboration with external agencies


📬 Internal Coordination & Communication


  1. Prepare weekly recruitment updates for the team
  2. Monitor and report on candidates’ performance during the Evaluation Period
  3. Collaborate closely with leadership to adapt recruitment pacing based on team needs
  4. Create and manage new recruitment processes when needed
  5. Develop internal guidebooks and procedure descriptions, handle journaling and documentation


You’ll Fit Right In If:


  1. You have at least 4 years of experience in recruitment, including at least 2 years in an independent position (coordinator/manager).
  2. You’re comfortable in a mid-level role with a good degree of autonomy, yet still eager to learn and grow.
  3. You can communicate clearly, directly, and kindly with management, candidates, and team members.
  4. You’re curious and proactive: you don’t just wait for tasks, you spot the opportunities and implement improvements.
  5. You stay in the loop: AI in hiring, new sourcing tricks, cool communities.
  6. You’re flexible and comfortable with change.
  7. Your English is a solid B2+ (we’re not looking for Shakespeare, just smooth business conversations).


Recruitment Stages and Evaluation Period

Our recruitment process is fully remote and transparent. Here’s what you can expect:


  1. Application form - short questionnaire to help us get to know you better.
  2. Recruitment task - a practical assignment related to the role so you can show your skills and thinking.
  3. Screening call - a short conversation with our Recruiter to discuss your experience, expectations, and any questions you may have.
  4. Interview - a deeper dive with our HR Manager to explore our fit, your goals, and next steps.
  5. Final interview - with the CEO and HR Manager
  6. Contract signing
  7. Evaluation period - a trial phase where we both get to see how we work together in practice.


Essential Information


  1. Hourly rate: 90–110 PLN/h – subject to periodic increases and inflation adjustments twice a year
  2. Time commitment: At least 5 hours/day. We count 6 hours/day as full-time, and we work when we want, tracking our hours using a tool called Hubstaff.
  3. Work mode: Fully remote
  4. Contract: Preferably B2B (Polish contract of mandate/Upwork possible for the evaluation period)
