Job description:


We are looking for a Project Controller Specialist to join our Operations Excellence team. This role is ideal for someone with a sharp analytical mindset, attention to detail, and a passion for connecting financial insights with operational project execution.



About the role:


We are looking for a proactive and detail-oriented Project Controller Specialist to join our Operations Excellence team. This position goes far beyond traditional financial reporting — it’s about becoming the eyes and ears of project governance across a complex, multi-entity organization.

You will play a critical role in identifying inconsistencies in project execution, uncovering risks before they impact delivery, and ensuring that data quality and reporting discipline are upheld across all ongoing initiatives.

This is a role for someone who not only crunches numbers but also walks the floors (virtual or physical), asks the tough questions, and makes sure our project governance processes are working as intended.



Main responsibilities:


  1. Collaborate closely with Project Managers and Business Unit Directors across the group to ensure: Project baseline budgets are in place and correctly entered into systems.

  3. All required project metadata is complete and accurate in internal tools.
  4. Investigate and resolve discrepancies in project data and documentation.
  5. Perform regular audits and health checks of ongoing projects to proactively spot gaps or emerging issues.
  6. Identify potential project risks based on trends in schedule, cost, scope, and resource data — and flag them before they materialize.
  7. Facilitate knowledge sharing and support compliance with internal project governance standards across all units.
  8. Design, maintain and improve dashboards (e.g., Power BI), reporting templates, and Excel-based tools used for tracking performance.
  9. Prepare and coordinate operational and financial project status reports.
  10. Support forecasting and rolling financial planning activities for project portfolios.
  11. Promote awareness and adoption of project governance best practices.



Qualifications:


  1. Proven experience working in a PMO or Project Controller role in IT or technology-driven environments.
  2. Strong understanding of project management principles and lifecycle.
  3. Excellent command of Microsoft 365 (Excel, SharePoint, Teams) and experience working with Jira
  4. Fluent in English (written and spoken); Polish language is a plus.
  5. Outstanding communication and interpersonal skills — you are confident in engaging with a wide range of stakeholders, including challenging or non-cooperative ones.
  6. Analytical mindset with the ability to synthesize large volumes of information and detect patterns or anomalies.
  7. Self-driven, disciplined, and proactive — you spot problems and fix them before someone tells you to.
