💡Your role in a nutshell 

Are you passionate about people and energized by the precision of payroll and HR processes? At VML, we're seeking an experienced and enthusiastic HR & Payroll Specialist to join our team and take ownership of HR and payroll operations for one of our legal entities in Warsaw. This role offers a unique blend of ensuring compliance with Polish labor law, managing employee data, and guaranteeing the accuracy of payroll and benefits administration. • Contract Type: UoP/B2B
• Location: Hybrid model – minimum 3 days per week in our Warsaw office, with the option to work remotely on other days
• Reporting Line: HR & Payroll Lead 
• Close Collaboration: Hiring Managers, People Team, IT, and Administration

🥇 Your scope & impact:

HR:

• Maintaining and organizing employee records in strict compliance with Polish labor law.
• Assisting employees with inquiries related to payments, benefits, and HR policies.
• Ensuring the timely completion of mandatory medical examinations and health & safety training for all employees.
• Assisting in the collection of HR data and generating reports for internal and external stakeholders.
• Actively participating in local and regional HR projects, contributing to the continuous improvement of HR processes.

Payroll:

• Compiling and verifying pre-payroll data to ensure the accurate calculation of salaries, benefits, and additional payments.
• Generating necessary reports for government institutions, including PIT/ZUS/GUS/PFRON/PPK.
• Managing employee social benefits (ZFŚS) and ensuring compliance with relevant regulations.
• Preparing civil law contracts and ensuring accurate and timely payments to contractors.

🔑Skills and experience required to be successful in this role include: 

• 3-5 years of proven experience independently managing payroll and HR processes within an international organization.
• Solid experience with HR and payroll system management; knowledge of Comarch Optima is an advantage.
• Excellent communication skills in both English (B2 level minimum) and Polish, especially in HR-related contexts.
• Practical knowledge of the Płatnik program is essential.
• Strong understanding of payroll calculation principles, Polish labor law, social security regulations, and tax law.
• Familiarity with SOX control procedures is considered a valuable asset.
• Proficiency in MS Office, particularly advanced Excel skills (including VLOOKUPs and pivot tables).
