Transfer Agency (TA) is a core service provided to funds by our business line Securities Services (BP2S) Investment Funds Services Operations (IFSO). The BP2S IFSO TA comprises in the region of 400 experienced professionals across 14 locations with its main International Operations Centre (IOC) located in Warsaw. It is a diverse domain offering both cross border and local distribution services across three main platforms. Core operations activities include order processing (receiving and sending orders), share register maintenance, investor services, investor AML, reporting, cash processing and trailer fee calculations.


The Global TA team is organized across Change & Transformation, Business Management, Process Management & Operational efficiency and PMO office. In close coordination with Client lines, IT teams and location TA management we are embarking on a new strategic investment programme addressing both strategic and critical needs across exciting topics including ETF, DLT, digital reporting amongst others.


Business Change Management (BCM) team is an operational team within the Transfer Agency department supporting day to day operation teams and is a key stakeholder/ driver of change projects affecting the business. The team is responsible for all system developments / change programmes and for driving continuous platform improvements. The current change programme includes automation, workflow enhancements along with Europe wide system initiatives and day to day change request management.


Reporting to the Global Head of TA Change and Transformation, the purpose of this role is to will work with operational delivery teams and IT teams to ensure smooth delivery to the local production teams. The scope of the role is across our Mutual Funds transfer agency operations.


Key Responsibilities:


  • Define and drive a continuous improvement programme to ensure our platform is best of breed.
  • Manage the implementation of key strategic projects as prioritized in conjunction with Senior Management.
  • Undertake business process reviews and re-engineering where required (identifying processes which need to change or to be eliminated);
  • Ensure requirements are correctly and clearly identified, documented and communicated for each change request.
  • Conduct operational readiness assessments, planning and implementation, ensure production teams/ operation environment is prepared to effectively support and accept the changes resulting from the project. On determination of gaps, plan and take action to fill the gaps
  • User Acceptance Testing (Functional Testing) which will involve Test Case Preparation, Scripting and Execution
  • Manage stakeholder interactions including IT (globally and in Luxembourg), Senior Management and BAU operations.
  • Support new client launches and on-boarding as agreed by management in coordination with the BAU teams.
  • Assist with business readiness preparation for all initiatives and new business onboarding including the completion of procedures, checklists and user guides.


Requirements:


  • Mutual Fund operations servicing existing product capabilities, and design of innovative solutions
  • Implementing solutions connected to external fund distribution platforms for transaction and processing.
  • 5 or more years’ experience in TA/IS Operations and / or similar Change Management role.
  • Project experience and have been involved in managing / implementing change into Operations Teams
  • Familiarity with Multifonds, SWIFT, and Block Chain technology would be an advantage
  • Excellent interpersonal skills and ability to work with business and technical teams
  • Excellent communication (verbal and written) and analytic skills
  • Strong team player with a high degree of flexibility

*Short term travel to BNPP offices within Europe may be required.
