In this role you will:


  • We're searching for a meticulous HR professional ready to take a new challenge.
  • You will take a central role in our People Operations team at it’s pivotal stage of development. Together, with Payroll and HR Manager, you will take ownership of the end-to-end employee lifecycle processes, including onboarding, offboarding, employee records maintenance and efficient payroll management.
  • You will be transforming our HR operations - you are a do’er who wants to leverage their expertise in streamlining current workflows, ensuring compliance, and driving organizational success by reviewing, assessing and proposing improvements to the current processes and policies.
  • You will join a collaborative environment where you can test and develop your project management skills by acting as a support to Lead of Compensation and Benefits in numerous HR and Reward projects and implementations.

Your responsibilities will include:


  • You are provider of the first line HR support and advice by responding promptly and accurately to queries. You will be responsible for resolving all transactional matters on People processes and procedures, whilst escalating more complex issues to People Business Partners or People Leads, as appropriate.
  • You will administer end to end life-cycle transactional HR processes including new joiners, leavers, payroll support, compensation changes, PTO arrangements and benefits administration. You will ensure that all changes are checked with the relevant team members and recorded accurately on HR databases and are confirmed with Payroll/Finance in time to meet ICEO’s monthly payroll and payments deadlines.
  • You will produce employment contracts and variations to contract (annexes) in line with authorized leadership requests.
  • You will be working closely with People Business Partners and Payroll Manager to ensure that employees information is kept up to date, any problems are identified and addressed in a timely manner, and any issues of non-compliance are flagged to the Lead of C&B for action.
  • You will be working closely with the TA team to ensure smooth onboarding of candidates and support with volume recruitment of employees.
  • You will be developing, maintaining and updating paper and digital employees' files. Your will make sure that all filing systems are appropriate.
  • On rare occasions, you will be acting as a Payroll Manager’s secondment.
  • You will be supporting Lead of Compensation and Benefits in delivery of the transformation of HR Operations in terms of service, structure and operating model.
  • You will be supporting and leading various HR and Compensation and Benefits projects.


What we expect from you:


  • 5+ years HR experience as HR Analyst/HR Admin/HR and Payroll Specialist or similar roles in small to medium size organizations;
  • Due to the nature of the job, it is a hybrid position with one day a week in our Krakow office;
  • Experience and interest in HR technologies and tools - including HRIS and Payroll solutions;
  • Initial experience in project management and processes implementations (a proven record of 2-3 implemented tools/changes to processes);
  • Analytical skills and the ability to collect, analyze, and interpret HR data;
  • Customer care orientation - providing excellent customer service to employees by addressing their queries, concerns, and requests in a timely and professional manner;
  • Self-driven and responsible with the ability to independently work with little help;
  • Be eager to learn and develop - staying updated on HR trends and regulations demonstrate a commitment to personal and professional growth.
  • Good communication skills and proven track of working in English-speaking environment.

Recruitment Process:

Our recruitment process includes several stages:


  • Resume and portfolio check - we do it in 3 days.
  • Screening with recruiter - (45 mins) - we will tell you about us and our projects and ask you basic questions about your experience to check if it’s a match :)
  • Meet the People Operations team- (1 hour) - Interview meeting with Lead of Compensation and Benefits (hiring manger) and Payroll and HR Manager.
  • Final Meeting - (1 hour) - meeting with Head of People, Lead of HRBP and Lead of C&B to discuss your process approach and company culture fit.
