Payroll Specialist with German
Job Description
Responsibilities:
Recording and documentation of absence data, including employee notifications, validation by supervisors and data entry
Recording and calculation of vacation entitlement, including credit calculation and compliance
Classification of absence types (paid vs. unpaid)
Payroll adjustments related to absences, including salary deductions for unpaid absences, processing of paid leave, overtime and shift adjustments
Integration of time tracking and attendance data
Ensuring compliance and proper documentation in line with legal and union requirements, including audit trails
Preparation of reports and analyses (absence reports, trends, cost tracking, employee notifications)
Employee communication and support related to absence management, policies and reintegration processes
Payroll Process & Time Management
Update and maintain salary data in payroll systems
Check data completeness and accuracy prior to payroll processing
Compile, process and execute payroll for multiple companies
Perform checks for repeated payroll processing and overall payroll accuracy
Approve payroll and prepare bank transfer documents
Ensure statutory reporting is completed accurately and on time
Payroll Queries & Audits
Receive, categorize and prioritize payroll-related inquiries based on type and urgency
Investigate inquiries, verify data and identify root causes
Find solutions and implement required payroll adjustments where necessary
Communicate clearly with employees regarding payroll topics
Ensure proper documentation and audit-compliant filing
Analyze inquiry trends and provide feedback and recommendations for process improvements
Conduct audits and respond to auditors’ questions (e.g. SOX)
Support tax audits and respond to wage tax auditors’ questions
Registration and calculation of short-time work
Apply knowledge of collective agreements and internal company regulations
Work with Hansalog and GFOS systems
Perform HR controlling activities
Handle calculations related to phased retirement, income protection, pensions and similar topics
Requirements
Bachelor’s degree in a relevant field (e.g. Business Administration, Human Resource Management or similar)
Preferably 5 to 7 years of experience in a similar payroll-related role
Strong HR knowledge with in-depth understanding of German labour law and German wage tax law
High accuracy and attention to detail; works meticulously and ensures a high degree of precision
Structured working style with strong planning and organizing skills
Result-oriented mindset with a strong sense of responsibility and ownership of tasks
Strong team player with a customer-oriented mindset and focus on stakeholder management
Decisive and solution-oriented; able to independently plan and manage own work
High stress resilience and ability to perform effectively under time pressure
Adaptability and flexibility in response to changing situations, priorities and working conditions
Strong analytical skills
Strong IT skills with proficiency in MS Office (especially Excel), Hansalog and GFOS
Fluency in German and English.
