Our requirements
✅ Experience & Background
Minimum 5 years of experience in administration, operations, or finance.
Bachelor’s or Master’s degree in management, finance, accounting, administration, or a related field.
Experience in preparing contracts and amendments for contractors and clients.
Proven familiarity with tools such as Google Workspace, DocuSign, Slack, Clockify, Jira, Confluence and Saldeo.
Strong experience in settlements, invoicing, and client-facing reporting.
Knowledge of benefits platforms and internal HR/finance procedures.
Nice to have: previous experience working in the IT industry.

Scope of responsibilities
📊 Finance & Settlements
Monthly project and client billing – verifying logged hours, consulting reports and invoices with Sales and PMs, issuing sales invoices, tracking payments, and sending reminders.
Internal settlements management – processing payments for B2B and mandate contract collaborators (hours, rates, benefits), preparing and monitoring benefit re-invoices.
Payroll and payment processing – creating payroll reports (including overtime, benefits, and reimbursable costs), preparing and executing transfers (e.g. salaries, ZUS, PIT, CIT), validating payroll summaries.
Accounting coordination and documentation – tagging and classifying cost and sales invoices (including tax reliefs like R&D and IP BOX), close cooperation with the accounting team, providing required financial documentation and reports.
Systems and reporting oversight – working with Saldeo, supporting PowerBI updates when needed, ensuring timely month-end closing, and allocating costs and work across projects.
🗂 Administration & Operations
Organizing company events – from planning to execution and cost tracking.
Managing business travel arrangements (domestic and international), including reimbursement and documentation.
Handling company equipment – procurement, replacement, delivery, and MDM registration.
Acting as a liaison with legal, accounting, HR, and external partners.
Supporting ad hoc requests from the Founders, Project Managers, and other team members.
👥 HR & Onboarding
Preparing contracts and amendments for new and existing team members (in cooperation with legal when needed).
Supporting client-side amendments and contract updates.
Leading onboarding for new joiners – welcome meetings, invoicing guidance, and B2B setup support.
Granting and revoking access to internal tools and applications.
Managing offboarding – collecting equipment, removing permissions, and final settlements.
Overseeing employee benefits – assigning, updating, and revoking access; ensuring accurate financial and HR-related reporting.
