Operations Manager (Pipeline)

Commitment: Full-Time, flexible hours (invoiced based on actual hours worked)

Role Overview

We’re looking for a proactive and highly organized Operations Manager to support our fast-moving operations across multiple business functions. This role requires agility, problem-solving skills, and the ability to switch between marketing, finance, sales, legal, compliance, and HR tasks as needed. Hours will vary, and tasks will be assigned based on real-time business needs.

What You’ll Do

You’ll work across different departments, handling tasks such as:

📌 Marketing & Events

• Manage ad spending and budget tracking

• Oversee contract negotiation and vendor relationships

• Assist in website design, page creation, and translations

📌 Finance & Accounting

• Support financial forecasting and budget tracking

• Approve and document expenses

• Process invoices and reconcile transactions

• Assist with payroll scheduling and financial planning

📌 Sales & Customer Success

• Follow up on leads and maintain CRM (HubSpot)

• Own pipeline management and reporting

• Ensure seamless customer onboarding

📌 Fundraising & Investor Relations

• Assist in investor communications and follow-ups

• Build and maintain investor data rooms and pitch decks

📌 HR & Recruiting

• Assist in hiring processes: posting jobs, screening resumes, scheduling interviews

• Manage onboarding/offboarding logistics

• Track and coordinate employee leave and HR documentation

📌 General Operations & Admin

• Coordinate meetings, prepare presentations, and manage board communication

• Organize company offsites, including travel logistics

• Set up automation and workflows in HubSpot and other tools

📌 Security & IT Support

• Assist in managing and ensuring compliance with security protocols

What You Bring

• Masters Degree - various fields of education are considered

• Strong organizational skills – able to juggle multiple tasks efficiently

• Tech-savviness – comfortable using tools like HubSpot, Notion, and Google Workspace

• Self-starter attitude – proactive, reliable, and adaptable

• Strong communication skills – able to coordinate across teams and time zones

• Fluency in English

An asset if:

Experience in operations, finance, or project management (bonus if within fintech, crypto, or startups)
