The Office Manager is responsible for organizing and assisting the office daily activities in order to ensure that our facilities are fully operational with all utilities functioning properly.
- Collaborating with office owners and management for facilities’ needs.
- Resolving office-related issues in all four Endava locations (Wroclaw, Warsaw, Gdansk, Lodz)
- Fostering a professional and friendly working environment;
- Support for starters & leavers (prepare documents, activate office cards, arrange welcome packages, walking tour of the office on their first day);
- Correspondence registration (envelopes / packages) and their shipment
- Raise PR for invoices, receipt of goods / services (by PO number);
- Registering invoices in facilities' records and sending them for payment;
- Keeping in touch with the suppliers for the location (Renewal of supplier contracts, offers requests, orders creation, additional documents necessary for the procurement process);
- Meeting / event rooms protocol at the colleagues request;
- Provide general support to visitors (local transfers, accommodation, dinner etc.)
- Resources monitoring, to ensure compliance with the budget and quality indicators;
- Proper documents archiving.;
- Collaborate with the accounting and legal departments for supporting documents (annexes, estimates, etc.);
Skills Needed:
- Bachelor’s degree;
- 3-4 years of experience in office management;
- Willingness to travel between offices (Warsaw, Lodz, Gdansk, Wroclaw)
- Willingness to work from the Wroclaw office at least 3 days a week
- English – Advanced;
- Knowledge of Excel;
- Attention to details;
- Organizing & prioritizing skills;
- Highly reliable and able to deal with confidential information in secure manner.
