What you’ll do with us:

  • Provide executive support to the board and track the progress of various initiatives.
  • Coordination of the meeting calendar and schedule management for the executive board.
  • Prepare and distribute meeting materials, summarize outcomes, and coordinate meeting logistics.
  • Manage office operations and equipment, maintain vendor relationships, and oversee office supply ordering.
  • Maintain clear communication with stakeholders, including office tenants and facilitate negotiations.
  • Coordinate correspondence workflow and shipment.
  • Arrange business travel for management and staff.
  • Assist with planning and executing company events.
  • Oversee insurance coverage for the office, equipment, and company liability.
  • Support HR team in recruitment, onboarding and offboarding processes.
  • Manage document archiving and other tasks as needed to keep operations running smoothly.
  • Stay up to date with the industry developments to improve workflows.


You’re a great fit if:

  • You have min. 3 years of proven experience in a similar position.
  • You have a Master's degree in Administration, Human Resources Management, or a related field, or have equivalent work experience.
  • You are available to work partially (a few times a week) on-site from the Warsaw office.
  • You can communicate fluently in English (we are an English-speaking company).
  • You are proficient in using Google Workspace
  • You have the ability to prioritize tasks, meet deadlines, and follow through on commitments.
  • You have experience working in tech-forward environments.
  • You have excellent verbal and written communication skills.
  • You have an energetic personality capable of pushing initiatives forward and closing tasks effectively.
  • You have a demonstrated resilience in managing dynamic workloads.
  • You are well-organized, pay attention to detail, and have strong multitasking abilities.
  • You are an open-minded and proactive person with a can-do approach.
  • You have a strong interest in new technologies
