What you’ll do with us:
- Provide executive support to the board and track the progress of various initiatives.
- Coordination of the meeting calendar and schedule management for the executive board.
- Prepare and distribute meeting materials, summarize outcomes, and coordinate meeting logistics.
- Manage office operations and equipment, maintain vendor relationships, and oversee office supply ordering.
- Maintain clear communication with stakeholders, including office tenants and facilitate negotiations.
- Coordinate correspondence workflow and shipment.
- Arrange business travel for management and staff.
- Assist with planning and executing company events.
- Oversee insurance coverage for the office, equipment, and company liability.
- Support HR team in recruitment, onboarding and offboarding processes.
- Manage document archiving and other tasks as needed to keep operations running smoothly.
- Stay up to date with the industry developments to improve workflows.
You’re a great fit if:
- You have min. 3 years of proven experience in a similar position.
- You have a Master's degree in Administration, Human Resources Management, or a related field, or have equivalent work experience.
- You are available to work partially (a few times a week) on-site from the Warsaw office.
- You can communicate fluently in English (we are an English-speaking company).
- You are proficient in using Google Workspace
- You have the ability to prioritize tasks, meet deadlines, and follow through on commitments.
- You have experience working in tech-forward environments.
- You have excellent verbal and written communication skills.
- You have an energetic personality capable of pushing initiatives forward and closing tasks effectively.
- You have a demonstrated resilience in managing dynamic workloads.
- You are well-organized, pay attention to detail, and have strong multitasking abilities.
- You are an open-minded and proactive person with a can-do approach.
- You have a strong interest in new technologies
