Your Role

As a Senior Operations Manager, your core mission will be business process modeling and optimization across the organization.
This is not a maintenance role — it is a transformation role focused on identifying inefficiencies, challenging the status quo, and rebuilding how we operate from the ground up

You will serve as the central point of ownership for all operational matters, shaping how work is executed across the organization. Your role will focus on identifying gaps and inefficiencies in current processes, then designing and implementing clear, scalable solutions that improve consistency and performance. You will also be expected to navigate and overcome internal barriers, ensuring that decisions are acted on and improvements are carried through without unnecessary delays.

This role requires a high level of assertiveness, independence, and resilience, as you will often need to challenge existing habits and push for necessary change.
Success in this role requires being on-site at our Warsaw office to closely oversee workflows, provide hands-on guidance, and make timely, informed operational decisions.

What You’ll Do

Process Design, Operational Systems & Knowledge Management

  • Lead end-to-end business process modeling by analyzing, mapping, and redesigning core operational workflows across the organization.

  • Identify inefficiencies, bottlenecks, and structural gaps, and systematically redesign them into clear, scalable systems.

  • Standardize and document all key processes to ensure consistency, clarity, and repeatable execution across teams.

  • Design and implement SOPs that enable independent execution and reduce reliance on informal knowledge or individual interpretation.

  • Build structured operational frameworks that improve alignment, accountability, and overall organizational clarity.

  • Own Notion as the central operational system, ensuring it serves as a single source of truth for processes, documentation, and execution tracking.

  • Maintain dashboards, trackers, and documentation that accurately reflect operational reality and support decision-making.

End-to-end Execution Ownership & Cross-Functional Delivery

  • Take full ownership of key initiatives from diagnosis through planning, execution, and final delivery.

  • Translate leadership priorities into structured, actionable execution plans with clear ownership, timelines, and deliverables.

  • Manage priorities, dependencies, and timelines across marketing, operations, and technology to ensure consistent execution.

  • Track active initiatives, proactively identify risks and delays, and drive resolution to ensure delivery is not compromised.

  • Ensure organizational alignment by introducing clear ownership structures, decision-making clarity, and accountability across teams.

  • Actively remove execution blockers, including coordination inefficiencies and internal friction points, to maintain flow of delivery.

Scaling, Automation & Continuous Operational Improvement

  • Identify manual, manager-driven processes and redesign them into streamlined, scalable and automated workflows.

  • Implement automation tools (e.g. Make, Zapier, n8n) to reduce operational overhead and improve efficiency.

  • Ensure automation is built on well-structured and standarized processes rather than fragmented or inconsistent workflows.

  • Support organizational scaling by continuously improving operational systems, workflows and execution standards.

  • Conduct focused operational research and deliver concise, decision-ready insights to support leadership decisions.

  • Endure all processes are measurable, repeatable and adaptable to increasing organizational complexity.

Ideal Candidate Profile

  • Strong experience in business process modeling and redesign (this is the most critical requirement).

  • Proven ability to identify weak points and restructure operations effectively.

  • Highly assertive personality — able to challenge decisions, push back when needed, and drive change.

  • Experience working in environments with organizational friction or gatekeeping, with a track record of overcoming it.

  • Hands-on experience with process optimization and automation tools (Make, Zapier, n8n, etc.).

  • Strong analytical mindset, with experience using data to improve operations.

  • Excellent organizational and leadership skills, capable of managing multiple initiatives simultaneously.

  • Clear communicator who can translate complex processes into structured, actionable frameworks.

  • Comfortable working in fast-paced, evolving environments.

  • Polish (B2+) and English (B2+) proficiency.

Nice to Have

  • Experience working in environments undergoing significant operational reorganization or foundational change.

  • Track record of supporting growth through process standardization, workflow improvement, and efficiency-driven initiatives.

  • Exposure to HR, payroll, or broader administrative systems and processes.

  • Experience overseeing larger or geographically distributed teams.

  • Understanding of compliance, workplace standards, or operational governance.
