Senior HR Specialist (SSC) - Develop your career in the global law firm hub!


On behalf of my client – the Shared Services Centre of a leading global law firm – I am currently looking for a Senior HR Specialist to join their Warsaw hub. In this role, you will work closely with local leadership, HR Business Partners, and key stakeholders to support the firm’s People and Talent Strategy. You will serve as a trusted advisor on HR matters, with a focus on compensation and benefits (including payroll coordination) and compliance with Polish labour law. Your expertise in local employment regulations will be key to ensuring both strategic alignment and smooth day-to-day HR operations.


Key Responsibilities:


HR Operations & Compliance

  • Ensure efficient, fair, and consistent execution of standard HR processes (e.g. probation, references, visa and exit documentation) within agreed timelines.
  • Implement and communicate HR policies (e.g. absence, maternity, disciplinary) consistently across the business.
  • Ensure compliance with local employment laws; monitor legal changes and work with Compliance on drafting and updating policies.
  • Oversee onboarding and offboarding processes in partnership with Global Service Delivery (GSD); identify opportunities for further process optimization and automation.
  • Maintain a strong relationship with payroll providers to ensure accurate and timely payroll processing.

People & Talent

  • Contribute to the implementation of global and regional HR initiatives.
  • Promote a positive organizational culture and support employee engagement activities.
  • Collaborate with Learning & Development on training programmes.
  • Champion inclusion and diversity by supporting strategic D&I initiatives and action plans.

Employee Relations & Mobility

  • Partner with HRBPs on all employee relations matters, including complex cases and terminations.
  • Advise and guide stakeholders on sensitive ER issues; prepare documentation such as conversation scripts and exit materials.
  • Manage international secondments in collaboration with Global Mobility, including accommodation, visa processes, and external advisory coordination.

Compensation, Benefits & Payroll

  • Support year-end compensation processes and advise on local C&B queries.
  • Provide HR expertise in payroll matters in collaboration with the payroll team.
  • Act as the main contact for health and life insurance providers; manage contracts, long-term sickness cases, disability declarations, and social security claims.


Requirements:


  • Minimum 7 years of relevant HR experience in an international environment is expected - experience in the legal or professional services sector is preferred.
  • Proven ability to communicate clearly and flexibly, with strong interpersonal and influencing skills to build effective stakeholder relationships.
  • Skilled at managing multiple priorities and tight deadlines, with excellent analytical skills and attention to detail.
  • Strong problem-solving mindset and a commitment to fostering a positive and collaborative learning environment.
  • A reliable team player with the ability to work across multiple teams in a complex, global matrix organization.
  • Knowledge of Polish employment law
  • Fluency in Polish and English (spoken and written)
