We are looking for a hands-on and detail-oriented Operations Assistant who will help us keep things running smoothly behind the scenes.
Position Overview:
The Operations Assistant plays a key role in ensuring the efficient day-to-day functioning of our internal operations. This role supports a variety of essential areas including administrative processes, office coordination, onboarding/offboarding, and internal communication. It’s a great opportunity for someone organized, proactive, and passionate about creating smooth experiences for employees and teams.
You will work closely with People Operations, IT, and other internal teams to deliver a well-structured and collaborative workplace experience.
Key Responsibilities:
Operational and Administrative Support
- Order office equipment and supplies based on team needs.
- Maintain internal calendars related to company operations (e.g., license renewals, subscription reviews).
- Track and manage administrative tasks and vendor contracts.
Employee Onboarding and Offboarding
- Coordinate system access: create and revoke accounts for email, Slack, and other tools.
- Organize welcome packs and ensure workstations are ready for new hires.
- Support the return and inventory of IT equipment during offboarding.
Office Support and Workplace Coordination
- Provide daily support for office logistics and employee needs (space, access, equipment).
- Assist in planning and running internal events like team-building activities and lunch & learn sessions.
Processes and Documentation
- Help maintain and improve internal procedures, handbooks, and how-to guides.
- Support policy enforcement and ensure internal compliance.
- Suggest and implement improvements to administrative processes and workflows.
Internal Communication and Organizational Culture
- Contribute to internal messaging and announcements.
- Support initiatives that shape and reinforce company culture (e.g., office days, competitions).
- Collaborate with different teams to improve transparency and internal information flow.
Qualifications:
- 2+ years of experience in roles such as Office Manager, Executive Assistant, People Ops, or Administrative Support.
- Strong organizational skills and ability to independently plan and prioritize in a dynamic environment.
- Assertiveness in communication — comfortable working with various stakeholders and following through on tasks.
- Action- and results-oriented: plans well but also executes and follows through persistently.
- Proactive approach to identifying issues and driving improvements before they escalate.
- High attention to detail and commitment to quality — enjoys structure and polish.
- Comfortable with autonomy and responsibility — takes ownership without constant supervision.
- Familiarity with MS Office (Outlook, Excel, Word) and openness to learning new systems and tools.
- Strong written and verbal communication skills, with the ability to collaborate across teams.
