Who we’re looking for:
We are currently looking for a senior, highly independent People & Administration Manager to take over a wide range of responsibilities previously handled by business heads. This is a key role in the organization — you'll be the go-to person for HR, operational and administrative matters, working closely with the Polish senior team and reporting to our Chief People & Impact Officer at Positive Group.
Our ideal candidate has 5-7 years of combined professional experience in independent roles related to people, HR, administration or operations. However, if you don’t meet this criterion perfectly but feel the job is for you, we strongly encourage you to apply!
Key responsibilities of People & Administration Manager:
People, Impact & Company Culture
- Supervision over all contracts and documentation related to HR matters: employee contracts (B2B, UoP etc.), UoP employees documentation, internal HR policies etc.,
- Cooperation with external payroll provider,
- Fully owning recruitment, onboarding, and offboarding processes aligned to our Group processes,
- Management of benefits and motivational programs for employees,
- Develop and implement a remuneration policy and bonus systems aligned to our Group approach,
- Organize company events, meetings, and team-building activities,
- Provide HR support to all employees, own annual employee evaluation process,
- Support managers in personnel matters and drive culture, values, and diversity initiatives,
- Work closely with our Chief People & Impact Officer at Group level: attend meetings, co-create initiatives, implement Group initiatives in Poland, share insights, and prepare materials.
Administration
- Oversee office operations: document and contract flow, archiving, purchases, supplier contracts, and office budget optimization,
- Negotiate contracts with suppliers and monitor their implementation,
- Sign operational contracts on behalf of the company,
- Managerial support for and supervision of our Office Manager,
- Coordinate legal matters with our corporate lawyers and Group General Counsel,
- Prepare documents for signing with high level of due diligence, including strategic long-term contracts,
- Approve company spending and act as the final decision-maker on office equipment purchases, CSR initiatives, and ad-hoc employee requests.
You are a great match for this position if you:
- have 5+ years of experience in a senior, independent role in operations, administration, and HR,
- combine seniority with a strong hands-on approach,
- handled broad, cross-functional responsibilities before,
- are confident making decisions, executing them and working w/o constant supervision,
- are detail-oriented, organized, and proactive,
- strong numerical skills and experience of working with numbers
- Experience in an international company with ability to demonstrate an international mindset,
- are a graduate of a business degree (economics, administration, international business or similar)
- understand Polish labor law and contracts (B2B, UoP, etc.),
- are comfortable handling legal documents, finances, and sensitive employee topics,
- have interest in SaaS business operations (it is a plus),
- have English at C1+ level (including legal contracts language), Polish at C1+ level; knowledge of French is a plus,
- are able to work from our Warsaw office.
