Managing the calendars of the Board Members (maintaining the calendar and schedule of the Board Members, prioritizing meetings and discussions)
Organizing and providing support in planning business trips for the Board Members in Poland and abroad (booking hotels, tickets, preparing agendas, expense reimbursement)
Organizing and participating in Board and Supervisory Board meetings (preparing agendas and taking notes after meetings in Polish and English)
Expense reporting for the Board Members
Developing business reports, summaries, and presentations
Collecting data, preparing documents, formatting, and translating texts
Preparing, sorting, compiling, and archiving documentation
Administrative support for departments closely cooperating with the Board (Legal, Finance & Controlling)
Collaboration with the Sales Department (administrative support, organizing business trips, and supporting customer onboarding processes)
Supervising assigned projects and managing them according to the schedule
Conducting implementations in English
Organizing and managing meetings, team-building activities, workshops, and conferences
Continuous collaboration with supporting departments, including supporting the Administration Team in their daily work
Building and maintaining a positive company image
Performing other tasks and duties specified by superiors and the Board Members
Requirements:
Excellent verbal and written language skills in English (C1)
Administrative experience in a professional environment is preferred
Detail oriented and able to manage projects independently
Strong time-management skills and the ability to organize and coordinate multiple projects at once
Able to work expertly and effectively in a dynamic, deadline-driven, high-pressure environment
Communication skills and ability to build relationships at various levels of the organization
