The Personnel Administration Process Lead is responsible for overall activities related to company personnel administration that are be in line with all legal and regulatory regulations resulted from Polish Labour Law. The role holder provides general personnel administrative support for employees in the organization. Oversees all functions of our Human Resources Administration Team.
Your responsibilities:
- Ensure efficient and qualitative Personnel Administration services delivery in line with Polish Labor Law regulations and global company procedures.
- Ensure high quality and on time provision of all personnel administration documentation and data that directly fall under the regulatory schedules.
- Maintaining detailed records of personnel files in the HR system.
- Maintaining personnel documentation (processing, distribution, and archiving of documents and personal data following the applicable provisions of the labor law).•
- Monitoring of working time, time schedules, holidays, and sick leaves, reports.
- Support the onboarding process of new staff and preparing onboarding documentation.
- Update employee files/records.
- Active participation in processes and systems implementation related to Personnel Administration.
- Support the activities related to data consistency and synchronization between various HR systems.
- Act as a consultant to HR staff regarding Personnel Administration regulations and policies.
- Participation in obligatory training courses to which the employer will refer the employee.
- Process the personal data only to the extent necessary for the proper performance of duties in the position.
- The employee is obliged to comply with the obligation to carry out other superiors' orders regarding work in accordance with the law and the type of work specified in the contract.
- Responsible for the correct and timely circulation of documents.
Our requirements:
- Excellent, proven knowledge of Personnel Administration regulations and Polish Labor Law.
- At least 3 years of experience in Personnel Administration.
- Excellent knowledge related to generating regulatory declarations (ZUS, PFRON, GUS).
- English minimum B2.
- Knowledge of TETA HR system will be an asset.
- Experience in working in demanding professional environments.
- Strong customer orientation and business awareness.
- Excellent attention to detail.
- Strong Excel skills
- Highly organized.
- Ability to mange multiple projects simultaneously and drive towards results and work to tihgt deadlines without compromising quality
- Hybrid working model- 2 or 3 days working from the office located in Katowice
