We seek a dedicated Client Experience Partner to join our team and contribute to our daily operations.
Your responsibilities
You will take full ownership of the end-to-end service cycle — ensuring smooth delivery to our international clients from the very first interaction through to successful completion of the Polish/EU citizenship process. This includes planning, organizing, controlling, and monitoring all necessary operations. Additionally, you will:
- Build strong relationships with individual clients internationally through open and consistent communication.
- Independently manage both volume and complex, long-term cases.
- Ensure stable and efficient cooperation with clerks and public institutions.
- Identify opportunities for optimizing client experience and internal processes — and actively bring them forward.
- Prepare applications for Polish citizenship and registration of Polish vital records.
- Evaluate and analyze foreign documents and other pertinent data.
- Mentor team members on adopting a “client-in-the-center” approach.
- Proactively seek input from team members and foster collaborative idea-sharing.
- Work extensively with CRM systems and project management tools (such as Asana, Jira, Miro) to ensure operational excellence and continuous improvement.
Our requirements
To succeed in this role, you must meet the following criteria:
- Proven experience working with international clients in the B2C sector.
- Hands-on knowledge of customer service or equivalent experience in a client-facing role.

Excellent command of English (C1/C2), both spoken and written.
- Strong organizational skills, including task prioritization and a responsible approach to commitments.
- Proactive communication skills, with the ability to identify and articulate improvement opportunities — both in client service and internal workflows.
- Openness to feedback and ability to give it constructively.
- Proficiency in business tools, especially CRM systems, ASANA, Jira, Miro.

While not mandatory, we’d be thrilled if you also bring:
- Experience in working within a startup environment, especially in tech, SaaS, or related sectors.
- Background in managing long-term client projects or processes (e.g., several months in duration).
