For Linklaters Service Delivery Centre Warsaw, we are currently recruiting for the HR Administration Specialist role.


Work arrangements:

Hybrid model work: (2 days per week from the office located next to Rondo ONZ)

Contract: contract of employment

Working hours: 9:00-17:15 and 11:00-19:15 

Purpose

The purpose of the role is to deliver high quality HR administrative support to the Firm. To act as first point of contact for queries, many which relate to process or policy, and escalate more complex questions as appropriate. Be part of the ‘Tier 1’ – HRPS team supporting primarily the UK, but also Warsaw HR. The ‘Tier 1’ team supports a range of HR Managers, Assistants, and Advisors, from the UK, and Warsaw.


Key Dimensions

  • High level workload juggling many priorities. Needs to be comfortable at prioritising own caseload, deadlines and dealing with a wide variety of different requests.

  • Needs to use initiative as to when to flag issues/concerns to the HRPS Team Leader or a more senior HR professional.

  • Good customer service ethos required.

  • No direct reports.

  • No financial influence. 


Key responsibilities and challenges

  • Receiving and resolving general or ad hoc queries via emails and phone calls from Employees, Managers and Partners in relation to HR policy and process.​

  • Pre-Screening – coordinate the process of Vero screening of Linklaters candidates.

  • HR record updates – update employee Workday records, e.g. secretarial relationships, absence approvers, fire warden, etc.

  • Reference Requests – production of employment references for current and previous employees.

  • Running cyclical reports to up-date the firm/external bodies with information relating to staff.

Characteristics, Skills & Experience required:

  • Fluent in Business English.

  • Experience of having worked in an HR administrative role preferably in Shared Service environment.​

  • Advanced knowledge of MS office applications.

  • Excellent attention to detail.
