Key Areas of Responsibility
Client Billing & Invoicing Management (Order-to-Cash)
Ensure timely and accurate realization of subscription revenue.
Subscription Management: Accurately set up and maintain SaaS client subscription plans, features, and licensed usage in the billing system. Execute all mid-term changes (upgrades/downgrades), ensuring prorations are calculated correctly.
Invoicing & Distribution: Execute daily/monthly billing runs. Review and validate all client invoices against contracts/SOWs before distribution. Manage complex billing types like usage-based billing.
Payment Processing & Dunning: Monitor payment gateways and manage collections workflows (dunning) to maximize payment success and minimize A/R aging.
Contractor Invoice & Expense Processing (Procure-to-Pay)
Manage external spending processes for contractors and key vendors.
Invoice Intake & Validation: Receive and validate contractor and vendor invoices. Ensure they include necessary supporting documentation (e.g., timesheets) and reference an approved contract.
Approval & Coding: Coordinate with budget owners to ensure all invoices receive proper budget and spend approval. Accurately code invoices to the correct GL accounts, departments, and projects before payment scheduling.
System Administration & Optimization
Act as the technical owner for the financial technology ecosystem.
Billing System Ownership: Serve as the primary administrator or super-user for the billing and P2P systems.
Process Improvement: Identify bottlenecks and recommend automated solutions to streamline the entire financial cycle, from contract intake to cash receipt and payment disbursement.
Data Integrity & Collaboration: Ensure consistent and accurate data flow between the CRM, billing system, P2P tools, and the GL. Collaborate with Sales Ops and IT on system upgrades and integration projects.
Ideal Candidate Profile
Minimum of 4+ years of hands-on experience in a Financial Operations or Billing Analyst role, with a strong emphasis on transactional processing (Order-to-Cash and Procure-to-Pay).
Proven experience working within a Software as a Service (SaaS) or subscription-based start-up or scale-up company model.
Deep familiarity with recurring revenue concepts (MRR, ARR, churn) and related billing challenges.
Demonstrated track record of identifying and implementing automation or efficiency improvements within financial workflows (e.g., reducing invoice processing time, improving dunning success rates).
Experience as a super-user or administrator for a specialized billing platform (e.g., Zuora, Chargebee, Recurly) and/or an enterprise P2P system.
Ability to configure and manage complex pricing, prorations, discounts, and mid-term subscription changes within a core billing platform.
Expertise in performing three-way reconciliations (CRM/Sales, Billing System, GL) and troubleshooting data discrepancies.
Fluency in both Polish and English (at least C1 in both).
