Customer Support Representative 

We are looking for a Customer Support Representative for our client - the company that provides filtration solutions to a wide variety of global industries including Mining and Minerals, Chemicals, Food, Power Generation, Healthcare and more. The company’s mission is to make the world safer, healthier and more productive by providing mission-critical filtration solutions that are designed to enable advanced healthcare capabilities, provide clean air, and drive productivity. 

Position Summary:  

The Customer Support Representative plays a critical role in ensuring a seamless customer experience by managing order processing, resolving customer inquiries, and proactively supporting customer success. The role combines operational responsibilities (order management, claims handling and administrative support) with building long-lasting customer relationships (relationship management, issue resolution, and satisfaction tracking). The ideal candidate is detail-oriented, proactive, and customer-focused, capable of managing both transactional and strategic customer interactions efficiently

Key Responsibilities

Order Processing & Administration

  • Process customer orders and inquiries accurately and efficiently.

  • Input and maintain customer information in SAP.

  • Distribute order confirmations and invoices.

  • Support with the preparation of shipping documentation to ensure well-coordinated deliveries.

  • Maintain prices in SAP and support new item creation.

  • Keep stock records up to date (Contract Stock - admin).

  • Enter and track claims to ensure resolution.

Customer Support & Issue Resolution

  • Act as the main point of contact for customers via email and phone.

  • Respond promptly to customer inquiries and provide accurate information.

  • Provide proactive updates on orders, deliveries, and stock availability.

  • Resolve complaints and issues efficiently to ensure customer satisfaction.

  • Follow up on outstanding payments and overdue accounts.

  • Inform customers of stock availability, helping to anticipate and prevent shortages.

  • Work with customers to understand claim issues and provide resolutions.

  • Maintain price lists, contracts, and documentation in collaboration with the legal team.

Customer Success & Relationship Management

  • Build and maintain strong customer relationships to drive long-term satisfaction.

  • Monitor customer satisfaction levels and gather feedback for continuous improvement.

  • Serve as the voice of the customer by providing insights to internal teams.

  • Identify upsell and cross-sell opportunities that align with customer needs.

Qualifications | Capabilities | Success Factors

Education and Experience

  • 2+ years in customer service, customer success, or a similar customer-facing role.

  • Experience with SAP is preferred.

  • Experience with Salesforce or other CRM systems is preferred.

  • High School Diploma required.

  • Bachelor's degree preferred in Business or other related field.

  • Experience with Microsoft Suite including Excel, Word, Outlook is required.

Other Skills and Abilities

  • Strong organizational and time management skills.

  • Excellent verbal and written communication abilities in Polish and English.

  • Customer-centric mindset with problem-solving skills.

  • Ability to handle multiple priorities in a fast-paced environment.
