The Role

We are looking for an HR Administrator / People Operations Specialist to join our People team. This is a hands-on, process-design and ownership role for someone who genuinely loves clean systems, accurate data, and airtight documentation. You will own the operational backbone of our people processes across multiple entities and countries, becoming the go-to expert for employment documentation, HRIS data integrity, and payroll inputs.

We’re not hiring you to maintain the status quo - we’re hiring you to build something.

Take ownership: consolidate all distributed HR admin tasks, drive HRIS hygiene, and become the process owner for contracts, payroll coordination, and system administration.

Build & automate: design entity-specific process playbooks, build automation for recurring admin tasks, and reduce manual work.

What You Will Own

Teams’ Documentation

  • Prepare, issue, and track employment contracts, addenda, and related documents across all entities.

  • Ensure full confidentiality and discretion across all employment documentation.

HRIS Administration

  • Manage all people lifecycle events in the HRIS: onboarding, offboarding, organisational changes, contract updates, and employment terms.

  • Own data quality - run regular audits to catch and resolve discrepancies proactively.

  • Partner with HR colleagues and business stakeholders to ensure records are always current and accurate.

  • Identify and implement improvements to HRIS configuration and usage.

  • Handle people's inquiries and manage the HR mailbox, ensuring timely and accurate responses.

  • Administer people's benefits - coordinating with providers and keeping records up to date.

Payroll Inputs

  • Compile and prepare monthly payroll data for external payroll providers across entities.

  • Perform predefined checks, reconcile inputs, and resolve discrepancies before submission.

  • Act as the liaison between internal stakeholders and external providers to ensure timely, accurate payroll cycles.

Process Building & Automation

  • Build entity-specific onboarding and offboarding checklists from scratch.

  • Identify opportunities to automate recurring admin tasks — contract generation, reminders, offboarding workflows — and lead their implementation.

  • Support HR and cross-functional projects focused on operational efficiency.

Who You Are

  • 4+ years of experience in HR operations, people ops, or HR administration in an international or fast-scaling company.

  • Hands-on experience with at least one HRIS platform - Personio, HiBob, BambooHR, or similar.

  • Solid understanding of how employment documentation works, ideally across more than one country.

  • Comfortable preparing payroll inputs and cooperating with external payroll providers, even if you haven’t run payroll directly.

  • Precise and process-minded - you catch errors before they become problems and you care about the accuracy of every record.

  • Proactive by nature: you identify what’s missing and fix it without being asked.

  • Background in a consulting, tech, or professional services firm.

  • Genuinely motivated by clean systems and accurate data - not looking to move into L&D or culture work.

  • Fluent in English and Polish (both written and spoken).

  • Happy to cooperate on a B2B basis.

Nice to Have

  • Experience with employment law in Switzerland/Germany/the USA/Canada.

  • German or French language skills.

  • Familiarity with process automation tools (Zapier, Make, or similar).
