Experienced Administrative Officer



Your role:

As our Administrative officer for Poland, you will support the local Polish site (both the factory and the office) and be the local point of contact for the European HR team. You will answer to the European Administration Manager located in Brussels. 


Your tasks will be: 

  • Purchasing office supplies and maintaining office equipment
  • Enforcing compliance with health, safety and security of staff and environmental standards in the office
  • Overseeing the use and maintenance of the building
  • Preparing regular reports on office budgets and expenses
  • With the European Admin Manager, creating and updating office policies and procedures to enhance efficiency
  • Supporting the administrative onboarding of the employees (organize medical appointments, health & safety trainings…)
  • Be the first point of contact for questions from the workers
  • Supporting the HR department with Polish administrative matters  
  • Organizing sales trips/shows (logistics and visit appointments, hotels, flights, car rentals, write up actions items from the trip and follow their execution)
  • Be the local support of the Marketing team during trade shows
  • When needed, handling market surveys by phone and analyzing the answers, reporting the conclusion and /or recommendations & validating new prospects by calling them and communicating details to Marketing dept. and Sales team
  • When needed, assisting the sales team with any support work such as: calling customers monthly to check their needs with them for the rolling forecast, proactively following up in writing on smaller quotes (during peak season from March to July)


Your profile:

  • You have at least 5 years’ experience in a similar role
  • You can communicate easily in Polish and English (Fluent level), oral and written. Any additional European language is a plus
  • You have a very good knowledge of Outlook, Word and Excel
