Opis stanowiska

As an Office Coordinator, you will be responsible for ensuring the smooth and efficient day-to-day operation of the office. You will manage administrative tasks, support daily office activities, and oversee facility-related matters to maintain a well-organized and productive work environment.

Resposibilities

  • Managing office administration, including employee access and office supplies inventory

  • Organizing and coordinating daily office operations and procedures

  • Maintaining the general upkeep of the premises

  • Carrying out routine checks to ensure safety and security

  • Contacting relevant personnel to troubleshoot complex issues

  • Interacting with clients and customers

  • Overseeing and directing staff as required

  • Ordering office supplies (e.g., coffee, office materials)

  • Handling correspondence (letters, including eDoreczenia in Poland, and courier services)

  • Supporting the organization of office events

  • Supporting the organization of offsite events in Poland (process and requirements support)

  • Managing company cars

  • Implementing office procedures and practices

  • Maintaining telecommunications systems in Poland and the Netherlands

  • Acting as travel administrator for external providers (creating and supporting employee travel, approving requests)

  • Supporting procurement processes

Requirements

  • Proven experience in office coordination or a similar administrative/ back office role

  • Ready to work fully on-site (100% office-based role) - office located in the center of Warsaw (Krucza 50)

  • Proficiency in MS Office Suite

  • Business-level English (minimum B2)

  • Native-level Polish language proficiency is mandatory

  • Strong communication and teamwork skills

  • Willingness to take initiative and act independently

  • Positive, can-do attitude with a willingness to support others and contribute to a friendly work environment

  • Ability to synthesize information and connect key facts

  • Proactive approach to problem-solving and process improvement

  • Ability to set priorities and manage resources effectively

  • Comfortable working under pressure
