Senior Associate – HR Operations / Time Management Services (Poland)
Who we are looking for
We are looking for an experienced HR Specialist to join our team and support a wide range of HR administration and time management activities. In this role, you will play a key part in ensuring high-quality service delivery, compliance with Polish labor law, and a smooth employee experience across core HR processes.
This is a great opportunity for someone who enjoys working with both HR processes and working time/attendance topics, and who is motivated to drive improvements while supporting employees and managers in everyday HR matters.
What you will be responsible for
Deliver HR administrative processes accurately and efficiently, ensuring compliance with Polish labor law and internal policies
Prepare and maintain employee documentation and personal files with strong attention to detail and data confidentiality
Completing assigned HR activities in a timely, accurate and efficient manner in line with local (Poland) legislative requirements
Support working time and attendance processes, including monitoring, verification, and ensuring accurate data flow to payroll
Provide guidance to employees and managers on HR administration topics, including working time regulations and policies
Manage and respond to employee queries in a timely and customer-focused manner
Prepare and distribute regular and ad hoc HR and time-related reports
Ensure effective coordination and communication with internal stakeholders, payroll, and external providers
Monitor regulatory changes, especially in labor law and working time, and support their implementation
Review, update, and improve HR policies, procedures, and process documentation
Identify opportunities to simplify processes and enhance employee experience, including the use of self-service solutions
Collaborate with global teams to support standardization and continuous improvement initiatives
Maintain high standards of compliance with internal controls, governance, and data protection requirements
What we are looking for
Minimum 5 years of experience in HR Operations / HR Administration in Poland
Strong knowledge of Polish Labor Code, including working time regulations
Experience in HR administration processes and cooperation with payroll or external providers
Handling queries from employees and managers, including the ability to provide advice and guidance on Time Management related regulations and processes to them
Familiarity with HR systems (e.g. Workday, Enova) is an advantage
Strong analytical and problem-solving skills
Advanced Excel skills (e.g. pivot tables, lookups, data analysis)
Very high attention to detail and accuracy
Strong customer focus and proactive, “can do” attitude
Ability to manage priorities in a dynamic environment
Excellent communication skills in English and Polish
Ability to work with confidential information professionally
Strong collaboration and stakeholder management skills

Minimum Salary:
zł87,000 Coroczny
The minimum salary quoted above applies to the role in the primary location specified. If the candidate ultimately works outside of this primary location, the applicable minimum salary may differ.
Salary will be determined based on factors such as the position, type of work performed, individual skills, job description, working hours, diligence, initiative, self-management, length of employment, availability, and the quantity and quality of work delivered, as well as other objective and non-discriminatory criteria relevant to State Street employees.
In addition to salary, employees are eligible to be considered for discretionary annual performance-based awards.
