As a Business Support Coordinator at Valueships, your primary responsibility is to support board members and the Operations Manager in day-to-day operations. We are looking for someone who values working smart, can competently manage multiple tasks simultaneously, and is committed to continuous growth. This role is an excellent starting point for building a long-term career within our organization. 

 

🛎️Requirements 

  • KEY REQUIREMENT: Fluency in both English (minimum B2) and Polish — confident communication in both languages is essential; 

  • Strong organizational skills with the ability to manage time and prioritize tasks effectively; 

  • Excellent communication skills and a collaborative mindset; 

  • A bachelor's degree (completed or in progress) — we especially value candidates engaged in scientific work or postgraduate studies; 

  • At least one year of experience in a similar or related role is a strong advantage; 

  • Attention to detail and reliability in handling administrative tasks

  • Basic data analysis skills and experience preparing clear, concise reports; 

  • Understanding of key business processes and the ability to proactively solve problems

  • A proactive, can-do attitude and a genuine eagerness to learn and grow.

📝Key Responsibilities 

  • Manage daily office operations in Wrocław, including supplies, IT equipment coordination, and handling incoming/outgoing correspondence and parcels; 

  • Coordinate board members' calendars, schedule internal and external meetings, and manage the company administration mailbox; 

  • Organize logistics for company events, off-sites, trainings, and workshops — including venue booking, catering, transportation, and on-site support; 

  • Manage end-to-end business travel arrangements (transportation, accommodation, expense documentation, per diems, and mileage reports); 

  • Coordinate conference logistics, including registration, travel arrangements, and communication with organizers — in close collaboration with the Growth team; 

  • Support recruitment, onboarding, and offboarding processes, including candidate communication, interview scheduling, and HR documentation; 

  • Process and post invoices in Saldeo (including entry and expense registration in budget tracking systems), prepare travel and event cost summaries, and liaise with accounting on reconciliation and missing documents; 

  • Support consultants with client work: preparing presentations, organizing documentation, and coordinating client meetings and workshops; 

  • Provide day-to-day operational support to employees and leadership, and assist the Operations Manager with ongoing tasks as needed.

  • Mandate contract: 4 600 zł - 6 000 zł gross; 

  • B2B: 4 600 zł – 6 000 zł net;

Recruitment Process: 

1.      Screening Call. We’ll get to know you as a candidate for the Business Support Coordinator position. We’ll ask about your general experience and core skills while also allowing you to learn more about Valueships. 

2.     Recruitment Task. You’ll be asked to complete a job-related task, which should take approximately 1-3 hours, depending on your experience and skills. 

3.     Hype Call. You’ll be asked about a vision of yourself within our organisation.  

4.     Decision. At the end of recruitment, we will decide whether to move forward with an offer to join our team or end the process.
